[摘要] 随着世界经济一体化步伐的加快,国际贸易不断发展,商务函电成为了国际商务交往中必不可少的联系工具。因此,写好商务函电是作为一名外贸业务员在其工作岗位中的首要任务。为此,本文从7C’s原则中的几个要素和格式等方面来分析商务函电的写作技巧并结合自身实际岗位分析所遇到的问题,

以帮助外贸人士提高商务函电的写作技巧,建立更多的业务关系,并增加公司的销售量和利润。

[Abstract]With the pace of economic integration of the world accelerated, the international trade has been constantly developed. Business correspondence has become the essential tool for the business

communication. Therefore, it is a primary task for the salesmen of their jobs to write business correspondence well. This article from a few elements of the 7C’s principles and format, analyzes the writing skills of business letters and problems of our own practical position to help foreign businessmen to improve their writing skills. So they can establish more business relationship and increase the company’s

sales and profits.

一、前言

(一)商务函电的定义及范围

商务函电是指在日常的商务往来中用以传递信息、处理商务事宜以及联络和沟通关系的信函、电讯文书。常用的商务信函主要有商洽函、询问函、答复函、请求函、告知函和联系函等。在发达国家,商务

信函是传递信息,推销、宣传产品,沟通交流的重要手段,在我国也越来越受到企业的重视。

(二)商务函电的作用

在当今世界贸易蓬勃发展之际,对外贸易的各个环节大多通过函电进行。同时,它又是开展对外贸易业务往来和有

关商务活动的基础及重要沟通工具。商务信函的好坏,直接就会影响收信者对于写信者所在公司形象的好坏。如果信写得不客气,公司就显得专横简慢;如果信写得草率,公司就显得傲慢无理。

相反,一封好的信函,直接就会让一个公司大大加印象分。如果信写得清楚、简洁又有吸引力,公司就显得有组织和高效率;如果信写得礼貌又友好,公司就显得体谅又乐于助人,自然就能够建立更多的业务关系,销售量和业务也就会滚滚而来。因此,熟悉运用并正确理解商务函电的写作技巧,是顺利进行商务业

务活动的前提和条件。

二、如何写好商务英语函电

在我国,随着经济的飞速发展,国际、国内之间商务往来日益频繁,商务英语函电也越来越受到了外贸企业的重视。然而,写好一份商务英语函电,我们都应根据“7C”原则。以下是有关这些原则的解释:

商务英语函电中的“7C”原则的三个“准确、简洁、清楚”都是对语言方面的要求,“体贴、礼貌”则是针对态度和角度方面的要求。“完整”是对格式的要求,而“具体”则是对整封函电内容的整体要求,是要求避免大而无当的词句,内容不能偏离要表达的中心。“完整”和“具体”原则非常直观,属内容范围。(选自《集团

所以,本人就从这些方面来分析商务英语函电的写作在以下几个方面的问题:

(一)内容清楚,目的明确

商务函电的功能不在于感情上的交流,而是为了一个非常实际的经济上的目的,向对方传达有关的意向和信息。如提出建立双方贸易合作的关系;买方询问卖方某一商品的价格和其它付款条件等。这就要求我们要围绕着这些目的来展开,突出重点,并且无关的内容应一概不写。所以,商务函电的写作,一般直接切入正题来表达主要的目的,语言上力求清楚,明确,以使对方能对信中提及的信息、问题等一目了

然,并给他们留下清晰,深刻的印象。见下列例文:

We are one of the largest importers of light industrial products in this city and shall be pleased to

establish business relations with you.

At present we are interested in your electric goods, details are in our enquiry NoteNo.1345

attached, and shall be glad to receive your lowest

我们有以上可以清楚地了解到,这封是进口商介绍自己的信函。它首先是自我介绍,接着明确提出了写信目的:自己的要货要求和希望。这些都显示了函电写作目的明确的,内容清楚的特点。

(二)用语简洁,准确

所谓一封简洁的商务信函,就是用最少的语言表达你想说的话,强调主要内容。例如“We hereby wish to let you know that we fully appreciate the trust you have in us.”

这其实是相当啰嗦的表达方式,这句话实际上就是要感谢你方对我方的信任,因此,我们其实可以

保留主要的信息,去掉不相关的材料,修改后的简洁表达式为:

“We appreciate your trust in us.”

在掌握了这些的同时,我们还要避免不必要的重复,以及老套的,不必要的表达方式等,用语准确。例如unexpected surprise就等于说surprise surprise,因为

unexpected就含有surprise的意思。这

样反复说同一件事,就显得啰嗦、枯燥。

例如,去掉老套的、不必要的表达方式:

当涉及到数据或者具体的信息时,比如时间,地点,价格,货号等,尽可能做到准确。这样会使交

流的内容更加清楚,有助于加快事务的进程。

(三)礼貌委婉,语气恰当

在你写信时,你要告诉对方你是礼貌的,你很在意并且体谅他们。即使是处理商务纠纷的信函时,你很生气时,也要注意发脾气这种方式并不会帮你达到沟通的目的,要保持冷静,注意礼貌,以理服人。礼貌性表现在句法上便是,如:We have the pleasure of introducing ourselves as…(很荣幸地向你方作

自我介绍,我方是…)而在词汇方面则是礼貌惯用语的使用,如please, honor等。

熟练的沟通者会自然地用第二人称代词you/your,而不是第一人称代词I/we/us/our。不管我们的目的是提供信息、增加友谊还是说服别人,最能打动人的词就是you/your。对比下边的例子:

(1)Our warranty for you become effective only when we receive an owner’s registration.(我们收

到所有者的注册时,我们的保修才生效。)

(2)Your warranty begins working as soon as you return your owner’s registration.(一旦你寄回你们的所有者注册,你们的保修就生效。)

第一句是以作者为中心的写法,第二句则是以读者为中心的写法。同样的内容,所带来的效果却是

显而易见的。

一封函电的语气也反映了写信者对收信者的态度,同时也能显示你和你的公司的形象。官样文字会使人感觉你是个神气十足的小人;自然、友好、礼貌的语气使人备感亲切,人们也总是愿意互相真诚地交

往。

如果你在函电中有一种亲切而充满合作之意的语气,那么在建立令人满意的关系时就会起到很大作

用。相反,就会产生意想不到的不良效果。因此我们也要注意语气的恰当。

例如,在国际贸易中,拒绝、索赔是常有的事。在我们写函时,既要有具体解决问题的办法,又要对对方有善意的心愿,精心选则措词,创造一种积极的语气,即便是在叙述坏消息时,也不用陈腐的虚伪

的客套。

(四)格式规范

商务函电的写作格式非常重要。格式规范的函件不仅便

于公司归档管理,而且能使阅件人对于函件的重要信息一目了然,另外还能为您赢得他人的尊重。因为凡在公司负责涉外沟通的人无疑是老板眼中的“外语专家”。老板一定希望您能写出格式标准的商务函件。外国合作伙伴也会因为收到规范的函件对您赞

赏有加,从而增加对您的信任。

然而,在实际工作当中,写作或处理函件时,人们往往会把几种写作格式搞得很混乱。不同的机构有不同的写信格式,常见的有四种格式:缩进式(indebted style),即把信头、日期、结束语和签名放在

右手边,段落首行缩进4个6个字母;混合式(modified style),即在缩进式的基础上段落首行不缩进;齐头式(blocked style),即把信的每一部分都左顶格式;简化式(simplified),即把齐头式的称谓和结束语

都去掉,这种方式只用在很熟悉的客户和朋友之间。

现今,主要使用两种格式:齐头式和缩进式。在格式中要特别注意的是呼语后面的逗号或冒号的使

用,以及呼语和结尾敬语之间的固定搭配。

呼语:结尾敬语:

(1)Gentleman:/Gentlemen:(冒号)......Faithfully, Truly,

(2)Dear sir,/Dear sirs,(逗号) ...... Faithfully,

Truly,

(3)Dear Mr. Smith,(逗号) ......Sincerely, Cordially,

若你的呼语为“Dear Miss Wu”而结尾敬语却用了best regards,那是不正确的。同时,我们也要注意日期的使用。日期有两种形式:英式,日月年,如21 August,1987。美式,月日年,August21,1987。

三、函电与外贸业务员岗位的联系

(一)建立业务关系和产品介绍书信的案例分析

在处理对外贸易业务时,我跟所有的其他外贸业务员一样,每天都要阅读大量信函文件,还要写商务信函,因为这也是我们成交一笔业务的基础。然而对于一个出粗茅庐的我来说,这个行业还不是很清楚。有一次在实习期间,老板给了我一个任务,让我给美国一个客户写封建交函,并且让我介绍公司的新产品。我就很欣慰地接受了,而且觉得自己已经掌握了函电写作的能力,就感觉很有信心能写好,当时我就写了

一封。

但之后却没有回音,当时,我就纳闷了,于是就去询问了我的老板,并让他看了这封信函,但当时我就从我老板的脸色中看到了很多不满,他当时就训斥了我一顿,这让我这个所谓的大学生失去了信心。老板只是让我再好好去学下关

于这方面的。尽管这样,我还是没意识到自己的信函到底写的有多糟糕。

隔天,我从我好朋友那得知,她们那有些业务员,经常接到很多订单,在那方面有很好的经验。于是我便通过我朋友,让她们帮我参考修改下。经她们分析,这才让我清楚地看清了自己信函的糟糕之处:首先语句呆板,严重的“生意腔”使邮件毫无生气,句子长而乱,意思模糊,而且也没有提供足够的资料来描述自己的产品。最后,连她们几个也看不懂我所描写的是什么产品,更何况是我的客户了。更糟糕的是,

措辞冒昧,极不礼貌,连最基本的格式也有问题。后来,她们给了我一个好的信函作为参考。

第二次,我再次发出修改后的信函,这一次,对方很快地就回应了,并在对方的语气中明显感觉到了对我这封信函的满意,我仿佛也看到了对方脸上的喜悦,同时我也收到了老板的鼓励。

日常要处理许多信件电邮,因而运用英语上不得不留神,

以下有一些个人意见,也参考了一些书本,希望大家有所得益。

外贸函电写作技巧之一 A. 文法上

1. 切忌主客不分或模糊. 例子: Deciding to rescind the earlier estimate, our report was updated to include 40,000 for new equipment.”应改为 Deciding to rescind our earlier estimate, we have updated our report to include 40,000 for new equipment. (We决定呀, 不是report.)

2.句子不要凌碎. 例子: He decided not to audit the last ten contracts. Because of our previous objections about compliance. 应该连在一起.

3.结构对称,令人容易理解. 例子: The owner questioned the occupant’s lease intentions and the fact that the contract had been altered with ink markings. 应改为: The owner questioned the occupant’s lease intentions and ink alterations of the contract.

4.单众数不要搞乱,不然会好刺眼,看不舒服. 例如: An authorized person must show that they have security clearance.

5.动词主词要呼应. 想想这两个分别: 1.This is one

of the publicrelations functions that is underbudgeted.

2. This is one of the publicrelations functions, which are underbudgeted.

6.时态和语气不要转变太多.看商务英语已经是苦事,不要浪费人家的精力啊.

7.标点要准确. 例如: He did not make repairs, however, he continued to monitor the equipment. 改为: He did not make repairs; however, he continued to monitor the equipment.

8.选词正确. 好像affect和effect, operative和operational等等就要弄清楚才好用啦.

9.拼字正确. 有电脑拼字检查功能后,就更加不能偷懒.

10.大小写要注意.非必要不要整个字都是大写,除非要骂人,:,例如: MUST change to OS immediately. 外国人就觉得不礼貌和喝令人一样. 要强调的话,用底线,斜字,粗体就可以了.

外贸函电写作技巧之二 B. 文体

1.可读性.对象是大学程度的话,用高中的英文就行,不要以为人人都是语言大师.多用短句(1520字吧), 技术性的字,就更加要简单易明.

2.注意段落的开头.一般来说,重要或强调的事情都放

在信件或段落的开头,而句子就放在最尾. 例如: 1.Because he was unable to attend the meeting personally, he forwarded his congratulations on cassette tape. 2.He forwarded his

congratulations on cassette tape because he was unable to attend the meeting personally. 两者强调的事情就有分别了.

3.轻重有分. 同等重要的用and来连接,较轻放在次要的句子里.

4.意思转接词要留神. 例如: but (相反), therefore (结论), also (增添), for example (阐明). 分不清furthermore和moreover就不要用啦.

5.句子开头不要含糊不清的主词. 例子: These decisions have been a big disappointment to the committee members. They have delayed further action. They是指什么呀????开头少用this, that, it, they, 或which.

6.修饰词的位置要小心,例如: He could only reimburse the cost after July 15. 应为He could reimburse the cost only after July 15.

7.用语要肯定准确.切忌含糊. 例如:The figures show

a significant increase.”怎样significant呀,大哥? 改

为: The figures show an increase of 19%.

8.立场观点一致. 少用被动语. 例如: Partial data should be submitted by April. 改为: You should submit partial data by April.就很好了.

外贸函电写作技巧之三 C. 格调

1.式样和句子长度不要太单调. 千篇一律的subjectverbobject会闷死人的.有时短句跟着长句可以化解一下.

2.弱软的词(e.g. was, were, is, are...)可以加强一点. 例如: Prunton products are highly effective in ... 改为: Prunton products excel in ...就有力很多了.

3.亲切,口语化是比较受欢迎! 用宾词和主动的词,让人家受落. 例如: 1. This information will be sincerely appreciated.” 2. We sincerely appreciate your information. 明显地,我们会喜欢第2句.

外贸函电写作技巧之四 D. 写信提示

1.人家的名字千万不要错.老一辈的看到名字错就干脆撵去垃圾桶.

同样, 头衔都不要错. 头衔或学位,任择其一吧.以下是一样的:

Howard E. Wyatt, D.D.SPhD.

Dr. Howard E. Hyatt

2.多过一个男人,用Messrs,就是Misters的意思,不过不要跟名字,跟姓就行啦.例如:

Messrs. Smith, Wyatt, and Fury

女人呢? 用Mesdames, Mmes., or Mses. 同样不要跟名字. 例子:

Mses. Farb, Lionel, and Gray

男女一齐呢? 弄清楚称呼就行.例如:

Dr. and Mrs. Harold Wright

Mr. Harold Wright and Dr. Margaret Wright

Mr. and Mrs. Harvey AdamsQuinn

3.有人有自己头衔就要跟紧,例如有人有荣誉学位就不喜欢用一般的头衔啊有时大头不知道对方头衔,干脆用Ms.算了.

Ms. Sarah Gray

4.地址要低日期至少两行.处名时,职衔短可以一行过,长就下一行吧.例如:

Ken Green, President

Ken Green

Vice President of International Operations

但这个就显得有点。。。:

Ken Green

Vice President of Unicom China

正确应为:

Ken Green

Vice President, Unicom China

5.老外的名字有时有Jr. 或 Sr.,之前的逗点是随你喜欢的,以下都是正确,不要笑人:

Michael J. Smith, Jr.

Michael J. Smith Sr.

6.外国国名尽量用大写.是为尊重,也方便邮差叔叔.

7.地址上的数字直接用阿拉伯数字吧,除了One,例子:

127 Ninth Avenue, North

127 E. 15 Street

5 Park Avenue

One Wingren Plaza

556 91 Street

外贸函电写作技巧之五书信的结尾意要留意,弄清大家的关系才选择用词,例子:

1. Very formal非常正规的(例如给政府大老爷的)

有时在we, I, and you之间选择是很烦的事

如果是公司代表联络生意之类,可以用:

如果单纯说你自己,可以用:

有时可以一起用啦...:

We are pleased to offer you the position of sales director, and I am looking forward to our Tuesday morning meeting.

那么I和you呢?好烦好烦.一般来说,收信人的利益比较重要,名义上都要这样想.给人尊重的语气就一般不会错了. 多用you有时会有隔阂的感觉.

You will be pleased to learn that you have been selected to serve on our advisory board. Your prompt response will be appreciated. (好像欠你一样) I’m pleased that our board has selected you as the best qualified candidate to serve on our advisory board.

I hope you’ll agree to serve. (这就友善多了)

Your book was well written and comprehensive. (不用你来判断我呀) I thoroughly enjoyed your book and found an answer to every one of my questions about performance appraisals. (客气一点,人家受落)

总之,语气和宾词的运用得当能决定你的礼貌程度.

用人家的名字总好过人家的头衔称呼. 如果没有名字,或者是好正规信的信件,可以考虑这些:

用笔亲自签名会比较受落,免到过都不要电脑贴图或盖章啦....不要把Mr., Ms., Mrs., Dr.之类一起签,人家会笑你的...
