Sample Talk

When meeting old or new customers or business partners, people seldom get directly down to business after exchanging greetings because that might be thought too business like, cold and abrupt. Both parties need a bit warming-up.

So they resort to small talk, talking about impersonal topics such as weather, food, local impression, etc.,among which, the safest and most popular topic is weather. People like talking about weather for it offends nobody, yet it affects everybody’s life. It is of great concern to business people who travel a lot. Whenever they come to a new place, the first thing they notice is the weather difference.

Besides weather, you can talk about local food, people or places of interest. But be sure not to touch upon sensitive political or religious issues especially when your stand is at odds with your partner. If you do, amid heated discussion, you might lose your head, lose your temper and worst of all, lose the customer!

Therefore, be careful with the choice of the topics for small talk. A congenial chat may pave your way to further business discussion while improper small talk may ruin your business opportunity.

The scheduling1 of appointment is very important in western culture.

If you want to visit somebody or invite somebody for a business interview, the best way is to make an appointment with him in advance, because most westerners often keep a strict personal schedule. They welcome neither unexpected visitors nor abrupt invitations. Usually they keep three schedules: one for daily events, one for weekly planning, and one for long term planning. They live and work according to the schedules. Making an appointment shows our respect for this cultural custom in the way we are asking him to fit our meeting in their time allotment2 instead of intruding3 rudely.

Before making an appointment, you must know the full name and title of the person you want to meet or invite. If necessary, you can check with his secretary. All the appointments should be double-checked for accuracy. The time, place, names of the participants should be verified4.

Attaching great importance to punctuality, westerners won’t change the appointment at will5. Never find excuses such as a traffic jam, since you should have thought about that and started much earlier. However, once such a thing happens, you should inform the other party immediately so as not to keep them waiting. This is the most basic common sense for appointment etiquette6. Apology afterwards is not encouraged for it will result in the displeasure of your partner. In general, it is very impolite for you to fail to keep an appointment. So it’s advisable that you’d better keep the appointment once you’ve made it.

It often happens one has to make changes to the plan or arrangement previously1 made. When this occurs, you should inform the business partners concerned as soon as possible, explain in detail the reasons for the changes of the plan and try to obtain the understanding and consent2of the other party.

Always remember civility3 costs nothing. Make an apology for the inconvenience or trouble brought to them if the changes have to be made because of your conduct4. Thus your business partner would accept the alteration with less displeasure.

In addition, you’d better tell the other party in person especially when important business activities are concerned. Leaving a message won’t do in such a situation. In order to get customers acquainted effectively with the enterprise and products within a short time, don’t forget to distribute your brochure and catalogue.

Dealing with the complaints of the customers is a knotty2problem. It needs tact3, sincerity and understanding. Gucci Rico: I’d like to speak to Mr. Liu Xing, please.

Liu Xing: Speaking. Who’s calling, please?

Gucci Rico: This is Gucci Rico from Starlight Shopping Mall, Italy.

Liu Xing: Hello, Mr. Rico. How’ve you been? The silk blouses and scarves are making good profits for you, I suppose?

Gucci Rico: I’m fine, but the silk products are not.

Liu Xing: Did anything go wrong?

Gucci Rico: When the goods arrived, we found the packing boxes were damaged and looked as if they had been broken open in transit. Quite a few blouses

were crushed or stained and cannot be sold as new articles in our shops.

Furthermore, we found that forty scarves had been stolen. We will fax

you a written complaint with a list of the damaged and missing articles

attached, and the consignment will be put aside until we receive your

instructions.

Liu Xing: This is quite unexpected. We apologize for the inconvenience it has caused you. Would you please return the whole consignment to us and we’ll ask

the shipping company to inspect the damage so that they can arrange

compensation. From our previous transactions, you will realize that this

sort of problem is quite unusual. I hope this incident will not affect our

business relationship.
